Responded Mon 12 April 2021I would be most grateful if you would provide me, under the Freedom of Information Act, details in respect to the Repairs & Maintenance contract in place at your establishment or who operate on behalf of your organisation. Further details of which can be found on the attached document;

The details we require are:
- Suppliers who applied for inclusion and were successful & not successful at the PQQ & ITT stages*
- Copy of the successful suppliers ITT submission
- Contract values of each contract year to date
- Start date & duration of contract
- Scope of services provided under current contract
- Is there an extension clause in the contract(s) and, if so, the duration of the extension?
- Has a decision been made yet on whether the contract(s) are being either extended or renewed?
- Who is the senior officer (outside of procurement) responsible for this contract?
*For clarity, the details of the successful and unsuccessful suppliers are kept in the strictest confidence. These details are used only to contact and support suppliers regarding their bidding activity for the relevant contracts.

Answer: Not available.
All those companies that applied at the time but were not successful were informed why and offered feedback. Copy of the successful suppliers ITT submission
Answer: Not available.
A tailored comprehensive pack goes out to companies interested in submitting a bid so that all our requirements are understood. There is an opportunity for any of the interested suppliers to ask questions and these with the answers provided are shared with all prospective tenderers. Contract values of each contract year to date
Answer: We are a relatively small urban district council with 1 main operational building, a town hall and around a dozen other smaller premises like public conveniences. We have a single minor works contract covering all aspects, for example, electricians, building and plumbing. The approximate contract value has been: £472,000 per annum.
Start date & duration of contract:
Answer: The contract awarded was a 5 + 1 +1 year contract commencing 1 April 2015.
Scope of services provided under current contract
Answer: Small building works plumbing (including some underground drainage works) small electrical works painting & decorating, occasional out of hours boarding up or making safe a dilapidated property If the task will cost over £12,000 we reserve the right tender that piece of work separately.
Is there an extension clause in the contract(s) and, if so, the duration of the extension?
Answer: Yes, there was a 1 year + 1 year extension that was invoked. The contract is currently at its early stages of being reviewed (April 2021) for the contract to be in place from 1 April 2022.
Has a decision been made yet on whether the contract(s) are being either extended or renewed?
Answer: We have just entered the first month of the last year of the extension period and so making decisions about the procurement route (although no decisions can be made during the 'pre-election period' that ends at 10 pm on 6 May 2020).
Who is the senior officer (outside of procurement) responsible for this contract?
Answer: It is not our practice to reveal the names of any contract owners and the procurement will be managed outside of Hastings Borough Council by the East Sussex Procurement Hub.
